Writing fee reminder messages from scratch every term is a waste of time your bursar does not have. The right message, sent at the right moment, gets parents to act. The wrong tone, or a message sent too late, creates friction and awkwardness.
These 30 templates cover every stage of the collection cycle. Copy them, adapt the details, and send. They are written for Nigerian schools, using common contexts (term fees, levies, exam fees) but work for any fee type.
Part 1: Pre-Due Date Reminders
These go out 7 to 14 days before the payment deadline. The goal is advance notice, not pressure. A parent who knows early has time to plan.
Template 1: General term fee reminder (SMS)

Template 2: Early notice with payment link (SMS)

Template 3: Friendly tone for first reminder (SMS)

These go out on the day payment is due. The tone remains respectful but clear. This is the last friendly nudge before the account is overdue.

Part 3: Overdue Reminders
These go out 3 to 14 days after the due date. The tone becomes firmer. These messages acknowledge the missed deadline while keeping the door open for resolution. Avoid aggressive or shaming language. It damages trust and rarely speeds up payment.

Part 4: Final Notices
These go out 14+ days after the due date. These are the last formal communication before the school takes further action. They should be firm, factual, and free of emotion. They are not threats. They are clear statements of consequence.

Dear Parent Name, this is a final reminder that Student Name's outstanding fees of Amount are now X days overdue. Immediate payment is required. Failure to settle may result in consequence. School Name
Template 25: Final notice email

Tips for Using These Templates Effectively
Personalise every message. A message that uses the parent's name and the student's name gets better responses than a generic broadcast. Parents notice the difference.
Match tone to timing. Early reminders should feel like a helpful nudge. Overdue notices can be firmer, but should never be condescending or publicly shaming. The goal is payment, not conflict.
Keep SMS messages under 160 characters where possible. Long SMS messages split into two and look unprofessional on some phones. If you need to share details, link to a payment page instead of listing everything in the message.
Always include a clear action. Every message should tell the parent exactly what to do next: pay here, call this number, reply to this message. Remove friction from the next step.
Have a record of every message sent. When a parent claims they never received a reminder, you need to be able to show exactly what was sent and when. Manual records do not hold up. A system does.
